Program Manager
Position Overview
The Program Manager is the operational backbone of BMG. Based primarily in our Bellingham office, this role keeps programs running seamlessly - from answering participant questions and managing course registrations to organizing gear, and helping share BMG’s story through marketing and outreach. This position reports to the Operations Director.
This is a hands-on role for someone who thrives on organization, customer service, logistics planning, and creative communication. It’s perfect for someone who wants to be an integral part of a small, mission-driven outdoor education nonprofit and enjoys a mix of desk work and hands-on preparation.
For candidates with wilderness medicine instructor credentials, there is the additional opportunity to teach occasionally or fill in when needed - adding meaningful field work to the position.
Key Responsibilities
Admissions & Customer Service (≈30%)
● Be the primary point of contact for participants and customers.
● Manage course listings, website updates, and online calendars.
● Respond to inquiries via email, phone, and social media; guide customers through
program options.
● Process registrations; collect paperwork from participants and track pre-course work
completion.
● Coordinate pre-course and post-course communication with participants.
● Track certifications: enroll participants in online curriculum, issue cards/certificates, and
send recertification reminders.
● Support and help optimize Salesforce (or other CRM tools) for admissions and
participant tracking.
● Manage BMG scholarship program; follow up with applicants & recipients.
Program Logistics & Equipment (≈30%)
● Schedule and initiate logistical processes for public program dates
● Prepare, pack, and ship training equipment for each course: first aid kits, printed
manuals, teaching materials, signage, and other gear.
● Stage gear for instructors and coordinate pick-up/drop-off schedules.
● Maintain and track inventory; reorder and restock supplies as needed.
● Oversee printing/shipping timelines for manuals, forms, and materials.
● Reserve sites, permits, and insurance as needed to support programs.
● Keep operational checklists and planning tools current to ensure smooth course delivery.
● Coordinate grocery orders for overnight programs with meal plans (4-7/year).
Marketing & Outreach (≈30%)
● Keep website and partner course listings up to date and visually appealing.
● Provide program details, photos, and updates for social media, newsletters, and
promotional campaigns.
● Assist with storytelling through student testimonials, instructor spotlights, and field
photos.
● Collaborate with partners, outdoor organizations, and schools to promote programs.
● Support creation of flyers, marketing collateral, and light graphic design when needed.
Office & Organizational Support (≈10%)
● Be an on-site presence to support daily operations and a smooth-running office.
● Assist with fundraising, grants, sponsorship, and partnerships.
● Help with internship and volunteer program coordination.
● Support company compliance tasks such as permit applications and insurance updates.
● Provide general operational support as needed within a small, collaborative team.
Optional: Instruction (as qualified)
● Serve as an instructor on courses if appropriately credentialed.
● Step in to teach or assist with programs when additional instructional support is needed.
● Stay current on backcountry/wilderness medicine practices if teaching is part of your
role.
Desired Qualifications
● Bachelor’s degree or equivalent experience (outdoor education, administration,
marketing, nonprofit management, or related).
● Strong organization and customer service skills; excellent written and verbal
communication.
● Experience with program logistics or inventory management strongly preferred.
● Familiarity with Squarespace (or similar), Salesforce/CRMs, Google Workspace, and
social media tools.
● Creative eye for marketing and storytelling (basic design or content creation experience
a plus).
● Knowledge of outdoor programs or wilderness medicine helpful.
● Wilderness medicine certifications (WFR, WEMT, EMT) or instructor experience a plus
but not required.
Compensation & Work Environment
Hours: Full-time (32–40 hrs per week). Flexible schedule possible.
● Pay: $24/hour starting
